Company and Artistic Management Apprentice

Summary of Position

This apprentice works with the Company Manager to provide Actors Theatre staff, guest artists, and apprentices with superior support in all aspects of housing, transportation, and hospitality. This apprentice also works with the PTC Directors on managing the administrative efforts of the Professional Training Company, including coordinating recruitment efforts for the 2018-2019 Company.


In collaboration with the Company Manager and PTC Directors the Apprentice’s responsibilities include, but are not limited to:

  • Coordination of transportation and housing for guest actors, directors, designers, playwrights and other visitors.
  • Communication with other departments regarding the scheduling of guest artists for special events which might include outreach, education or promotions.
  • Interaction with staff and PTC members to coordinate and maintain the PTC company calendar for meetings, classes, rehearsals, load-ins, and events.
  • Serve as Recruitment Coordinator for the 2018-2019 Professional Training Company, including processing apprenticeship applications, scheduling interviews, and corresponding with our 2,000+ applicants annually.
  • Maintain extensive spreadsheets and calendars for tracking purposes.
  • Assist with guest wellness concerns and worker’s compensation forms.
  • Create housing and travel documents, developing advanced skills and knowledge of Excel spreadsheets.
  • Coordinate and communicate clearly, both verbally and in writing, with the Transportation Committee chair to arrange ground travel for guest artists, learning to manage and work with volunteers.
  • Assist Company Manager in stocking and distributing actor living supplies to apartments/hotels, and overflow units, learning to anticipate needs and organize housing.
  • Process reimbursement paperwork for guest artists and process payment of credit card billings and other expenses, developing book-keeping and budget-planning skills.
  • Process work orders, budget documents, event forms, and other in-house documents to generally assure expedient and reliable organization of day-to-day operations.
  • Perform basic clerical tasks.
  • Take meeting notes and create documents as needed.

Primary Learning Goals

  • Develop confidence and authority as the Assistant to the Company Manager, learning to take a leadership role that is personally empathetic and professionally competent.
  • Develop an understanding of Actors Equity Association and the Stage Directors and Choreographers Society contract regulations for guest artists.
  • Learn how to manage submissions for the recruitment process and how to professionally represent the PTC to potential applicants.
  • Develop skills in travel booking and learn to prioritize, communicate and manage information systems.
  • Develop excellent customer service skills by communicating and implementing Actors Theatre policies.
  • Learn how to function as a brand ambassador for a professional theatre.
  • Learn how to handle daily operations of an artistic office, including scheduling, analyzing artistic work, budgeting, and correspondence with internal and external collaborators.
  • Learn how to navigate the theatre industry and be a viable candidate for future employment.


The successful applicant is ambitious, self-motivated, works well in a fast-paced environment and responds with flexibility to the needs of various collaborators and to rapidly changing circumstances and personalities; demonstrates a sense of maturity and a strong sense of humor; demonstrates strong organizational skills and an ability to multi-task with close attention to detail; demonstrates an ability to discreetly handle sensitive or confidential information while holding high ethical standards, demonstrates proficient computer skills with knowledge of Microsoft Office and Outlook; demonstrates communication skills, both oral and written. This apprentice must have a valid driver’s license and a reliable personal vehicle.


Actors Theatre of Louisville’s Professional Training Company is focused on practical, experiential training designed to help young theatre professional’s transition from an academic degree to a real-world career. While completion of a four year degree is preferred, professional work experience or alternative training may meet apprenticeship requirements. Successful candidates enter into the apprenticeship already having acquired basic training and are looking for immersive career development opportunities.


This apprentice will generally work 5 to 6 days a week from 9am-6pm, but hours vary, due to the demands of the season. The Apprentice is on-call two nights each week and every other weekend for Company Management. Thanksgiving and Christmas Eve/Christmas Day are observed. Specific religious holidays will be observed as requested.


A grant of $5,000 is awarded to each full-season apprentice to help defray the cost of living.  We also provide each apprentice with help finding low-cost housing and securing student loan deferral for the season. Apprentices are responsible for all costs associated with living in Louisville for the duration of the apprenticeship. It is possible for the Company Management Apprentice to obtain part-time employment outside the apprenticeship. Additional employment must be approved by their supervisor in advance.
